Career Vibe Coaching respects your privacy and is committed to protecting your personal information. This policy explains what information we collect, how we use it, how we store it, and your rights in relation to your data. It applies to all clients, including children and young people aged under 18.

We follow the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs) in how we handle personal and sensitive information.

We collect some personal information to help us support you. That includes:

🔹Sometimes this includes sensitive information, like wellbeing, background or mental health — only if you share it.

🔹We store your information securely using trusted tools (Google Workspace, Notion, and our website).

🔹Your information is never shared, unless:

We don’t send marketing emails — just the occasional personal check-in (which you can opt out of anytime).

1. What information we collect

We collect personal and sensitive information to provide personalised, ethical and high-quality career counselling. This may include:

  • Your name, email, and phone number
  • Your age, gender, and pronouns
  • Your goals, career interests, and education or employment history
  • Notes from our sessions together
  • Sensitive information that may arise in discussion, such as wellbeing, cultural background, mental health, or personal disclosures

We only collect information that is relevant and necessary for your support.

2. How we collect your information

We collect your information through:

  • Online forms (e.g. contact forms, bookings, intake forms)
  • Email or direct communication
  • Notes taken during or after your sessions
  • Optional participation in follow-up check-ins or service feedback

If you are under 18, we also collect consent from your parent or guardian before we start working together.

3. How we use your information

Your information is used to:

  • Provide you with personalised counselling and support
  • Understand your goals and tailor resources to your needs
  • Track your progress and keep accurate records
  • Respond to your enquiries
  • Occasionally check in after services to see how you’re going (you can opt out of this at any time)

    We do not sell, rent or share your personal information for marketing purposes.

    4. Storage and security

    We take security seriously. Your information is stored using secure systems:

    • Google Workspace for meetings, calendar bookings, and email
    • Notion for session notes and client profiles
    • WordPress (hosted by Hostinger) for website form submissions
    • If you enrol in an online course, information may also be collected via our learning platform at learn.careervibe.net (Moodle) – this is covered by a separate privacy notice provided at time of enrolment

    Access to your data is limited to the practitioner and is password-protected and securely managed. We do not keep physical copies of your records.

    5. Communications

    All communications from us are related to your enquiry or counselling. Occasionally, we may reach out to check in or offer support we believe may be helpful. These messages are written personally and are not part of any mass marketing list.

    You can opt out of these communications at any time by letting us know.

    6. Disclosure of information

    We will never share your information with third parties unless:

    • You give us permission to do so
    • We are legally required to (e.g. if there is a serious risk of harm to you or others, or a legal obligation to report harm)

    If you’re under 18, we will always explain confidentiality and any limits to it in plain language before sessions begin.

    7. Your rights

    You have the right to:

    • Ask what personal information we hold about you
    • Request access to or correction of your information
    • Withdraw consent (where applicable)
    • Make a complaint if you believe your privacy has been breached
